How to ask the right client employee for bookkeeping information in Uncat

If you have an accounting or bookkeeping client with one owner that handles all the spending and deposits, you can use Uncat to get descriptions and receipts about any uncategorized transaction from that person. But let’s say the client has several employees and each has their own credit card and role in the company. You can use Uncat to ask each employee about the uncategorized transactions that are relevant to them and not overwhelm them with questions about transactions that they’ve never seen.

Go to Client Settings for the client and scroll down or click the link for Client Users. Click to Add Client User. (Note: If it’s the first client user, they will be the default admin and they’ll be able to see all transactions synced into Uncat.)

From the Invite Client Coworker modal window, enter the Coworker Email and optionally a Phone number if you want to notify the user by SMS text message about uncategorized transactions. In the field for Assign Payment Account(s) to Coworker you can choose one or more accounts. In this example, we’ll assign transactions from the Credit Card to this client coworker. (If there are 5 employees and each has their own Visa or Mastercard or American Express card, you can assign each card to its respective owner.)

You can also optionally assign transactions from particular Uncategorized Account(s) in QuickBooks Online to a client coworker user. In this example, let’s say the employee is the Accounts Receivable manager so we’ll assign them the transactions from Uncategorized Income.

You’ll then see a list of users for that client. You can edit the Payment Account and Uncategorized Account assignments. You can also update their email addresses and phone numbers.
