QuickBooks Desktop Tech for Accountants

While Intuit’s QuickBooks Desktop is a steady, traditional accounting tool used by many accounting and bookkeeping firms, it doesn’t fulfill the needs of every accounting firm or business.

There are over 200 apps to integrate with QuickBooks Desktop, so you’re sure to find something to suit you or your firm’s needs. From apps that simplify expense reporting to cloud connectivity, QuickBooks Desktop Marketplace has it all.

But with over 200 possibilities, deciding between them all is an intimidating feat.

To streamline this process, we’ve shared some of the most popular apps that accounting firms and businesses use with QuickBooks Desktop. Obviously, the needs of each firm or business are different, so these may not exactly apply to your business. However, these popular applications are sure to get you on the right track. So, let’s get started!

6 popular apps for QuickBooks Desktop

QuickBooks Desktop Cloud (Right Networks)

Hosted through Right Networks, an accounting platform that combines accounting technology, productivity tools, data sharing, and other forms of support for businesses and firms, QuickBooks Desktop Cloud is a great solution for accountants looking to compromise between QuickBooks Desktop (QBD) and QuickBooks Online (QBO). Many accounting firms and businesses have switched to QBO because of its cloud capabilities, unlike QBD. But with this switch, many accountants lament over some of the features only offered through QBD. However, this isn’t an issue with Right Networks’ QuickBooks Desktop Cloud.

QuickBooks Desktop Cloud incorporates all of the features of QBD and also grants you access to the cloud anytime, anywhere. This is a fantastic application for small firms and businesses. You gain access to the cloud’s security, dependability, and mobility without losing any of the benefits of using QBD.

Qbox

Qbox is essentially a cloud service—like Google Drive or Dropbox—meaning that it allows users to access and use QuickBooks Desktop remotely. It’s cloud storage specifically designed for QuickBooks Desktop files, but Qbox is also compatible with other files, including Word, Powerpoint, Excel, PDF, and others.

To use Qbox, you simply copy and paste files into Qbox explorer. The files sync up into Qbox’s cloud storage server and then sync down to the shared user’s folders in the Qbox Explorers.

One of the great features of Qbox is its secure locking mechanism. Qbox can lock your QBD files so that they don’t corrupt over time, which often happens in other cloud-based storage services. When you open a file shared in Qbox, the file locks automatically so nobody else can edit the file while you’re making changes. So, if a coworker clicks on the file, they can see the file is locked and who it’s locked by. Once you finish editing a file, Qbox then syncs the changes made by the user to the other shared users and releases the lock.

While Qbox only works with Windows, you can still run Windows on a non-PC or a Mac. Qbox is a great resource to encourage simple financial collaboration and communication.

QuickBooks Web Connector

QuickBooks Web Connector is a must-have application that allows web services—web-based applications such as Uncat—to trade information with QuickBooks Desktop products. The Web Connector takes the information collected from the web browser by the web server and exchanges it with QuickBooks Desktop. The QuickBooks Web Connector (QBWC) is installed on the same machine or local network as your QuickBooks Desktop.

To install a QBWC, see our QBD Support Guide page or find the best version of QBWC for you through QuickBooks or Intuit Developer.

E-commerce Connector (Webgility)

Webgility offers its E-commerce Connector, which is an application that works with QuickBooks Desktop to bring together all of your commerce apps (Etsy, Shopify, Amazon). For accountants, this is a great platform to cut the time and energy you spend on accounting and also gain insights into a business and how to increase its profitability.

This application offers a multitude of features and benefits: multichannel inventory syncing, accounting automation, product listings and transfers, business analytics, and more.

  • The multichannel inventory sync acts as a master inventory management system to eliminate common inventory mistakes, track and sync orders across all e-commerce stores, and control prices and products from one dashboard.

  • The accounting automation feature allows you to eliminate time wasted on manual data entry and focus on other productive tasks needing your attention. It syncs order information between QBD and sales channels so that your information is always up-to-date.

  • The product listings and transfers feature lets you publish information about products—price, description, and images—from QuickBooks Desktop to your sales channels (or vice versa).

  • The business analytics feature shows you data captured from sales channels in QBD translated into performance analytics and actionable solutions in one central hub.

Method:CRM

Method:CRM is a QBD integration—considered one of the best QuickBooks integrations—that syncs customers, invoices, payments, and other information between Method:CRM and QB. Whether you add information—such as a customer—in QBD or Method:CRM, you can see the real-time, two-way sync automatically. This application allows you to easily manage your leads, track opportunities, simplify client onboarding, and also drive up existing client loyalty.

Method:CRM also has specific items only supported for QBD syncing:

  • Sales orders for sales transactions

  • Bill payments and item receipts for vendor transactions

  • Payment price levels

  • Lists of sales reps

  • Time tracking by class, customer job, name, or activity

Additionally, the online client portal lets your clients update information, view invoices, and make payments wherever and whenever.

With Method:CRM integration with QBD, you can enhance your client relationships, provide high-quality service, and grow your firm.

Fishbowl Inventory

Fishbowl Inventory (Manufacturing and Warehouse), stored on your desktop computer, is a popular inventory management solution that features full inventory management for QBD, including reordering, stock alterations, order management, shipping, receiving, and more. You can manage and track across multiple warehouses and even look at business intelligence in-depth reporting per warehouse. This app also allows you to track parts through different criteria (i.e. serial numbers, expiration dates), set up automatic reorder points to prevent stockout, and create any essential order management documents you might need (purchase orders, pick tickets, sales orders).

Integrating QuickBooks Desktop and Fishbowl’s inventory management software saves you time and gets rid of double data entry by syncing information between QBD and Fishbowl. When a sales order comes in and a purchase order leaves, Fishbowl’s inventory management software alerts QBD to update your general ledger and create invoices, simplifying your work as an accountant.

Fishbowl Inventory can help you store all your financial information into one central database, making it easier for accountants to keep track of invoicing records, ensure payments, and prepare for taxes.

Even more promising, Fishbowl is the number one inventory management software for QuickBooks, and it’s used by companies like Lowers, Johnson and Johnson, Mercedes Benz, and even United States military branches like the Air Force and the Army. Check out Fishbowl Inventory for a great solution to keeping your inventory, financial records, and QBD in sync.
